Marketing Events Coordinator – Texarkana, TX

The Marketing Events Coordinator is responsible for generating leads through webinars and tradeshows and for creating graphics that tell the company’s story and drive lead generation. There are two primary responsibilities for the Marketing Events Coordinator, including:

Generating Leads through Webinars

This position is accountable for generating leads through webinars by coordinating all aspects of monthly webinars for each industry served, including analyzing webinar and marketing message performance to ensure effective lead generation and follow-up from webinar marketing efforts.

  • Researches webinar topics and schedules 3 monthly webinars, one for each of the industries served (Human Resources, Schools, Trucking)
  • Coordinates speaker logistics including speaker agreement, run-thru of presentation, and PowerPoint creation/edits
  • Sets up webinars in GoToWebinar, Pardot, & Salesforce
  • Coordinates writing of promotional copy for webinars including headline, description, and author bio, by gathering speaker bio information and webinar talking points.
  • Oversees creation of landing pages for each webinar, including registration pages and replay pages
  • Coordinates promotional copy and graphics for newsletter blurbs and social media promotions
  • Determines marketing promotional strategy and calendar for webinars, with approval from marketing manager before publishing
  • Monitors webinar registration numbers and adjusts marketing promotional message accordingly
  • Ensures webinars are added to website
  • Determines marketing message as it relates to webinar and creates corresponding marketing promotional slides, scripts, and surveys or polls to promote company products or events during the webinar
  • Submits appropriate HR webinars to SHRM site for SHRM Recertification Approval
  • Strategizes and sets up Webinar Goodie Bag Landing Page and SurveyMonkey Webinar Survey for webinar lead generation
  • Emails post webinar replay announcement to registrants within 24 hours of webinar completion
  • Emails webinar overview to marketing manager and sales manager about webinar topic, marketing message, or offer talked about within 2 hours of webinar completion.
  • Submits summary reports of each webinar to the Marketing Manager within 24 hours of webinar completion and updates report information in Salesforce and on Webinar Tracking Excel Document.
  • Tracks sales follow-up on webinar leads and works with sales manager to ensure lead follow-up is properly documented in Salesforce

Generating Leads through Tradeshows

This position is accountable for leading and executing the brand strategy for a tradeshows, exhibitions, and conferences in a manner that will drive lead generation through optimized booth traffic.

  • Implements annual trade show planning process, including show list development and speaking opportunities
  • Coordinates staffing plans for all events
  • Maintains Salesforce Tradeshow Campaigns and event specific spreadsheets
  • Leads creation and delivery of pre-show and post-show communications
  • Coordinates logistics and deliverables for trade shows, including: securing booth space, registering booth staff for the events, managing travel arrangements for booth staff, working with vendors, procuring branded materials and appropriate brochures for events
  • Completes, files, and manages tradeshow and expo registration and vendor order forms
  • Ensures all tradeshows have specific, measurable objectives, and that there are systems and procedures in place to measure success or failure against those objectives
  • Develops and oversees the process to inventory trade show equipment, optimize show prep process, and return of all goods and equipment
  • Prepares, packs, and ships tradeshow and exposition materials
  • Participates in post-show reporting and evaluation
  • Manages corporate promotional items and associated budgets
  • Reports monthly on key metrics and plan execution
  • Travels to and supports onsite execution and management of key events, including show set-up and take-down as needed
  • Responsible for budgeting and tracking expenses to assist in complete financial reconciliation of all shows including the creation of Purchase Orders
  • Ensures processing of show leads in CRM system and distribution to sales team, within 2 business days of show
  • Assists in sales and marketing meetings, conferences and trainings by developing PowerPoint presentations and coordinating support materials

Requirements

  • 3+ years’ experience using Microsoft Office, including PowerPoint, Excel, and Word
  • Strong organizational skills and the ability to prioritize responsibilities
  • Ability to manage tasks under tight deadlines with exceptional attention to detail
  • Capability to work independently as well as part of a team
  • Excellent verbal/written communication skills
  • Adeptness and ease in learning new software programs
  • Cold calling experience
  • Experience with WordPress and/or HTML is a plus
  • Experience using Adobe Creative Suite, including InDesign, Photoshop, and Illustrator (Preferred)
